Getting Started: The Onboarding Wizardβ
Setting up your finances shouldn't mean starting from scratch. When you open a new financial year, a quick 3-question setup wizard will ask for your country, box count, and primary business model.
Instead of an empty form, the calculator will automatically prefill your budget with realistic regional benchmarks. You can review these estimates and refine them step-by-step, or skip the wizard entirely if you prefer to start with a blank slate.
Knowing Your Numbers (Field Provenance)β
To help you distinguish between real data and estimates, every numeric field explicitly shows its source:
- π Benchmark: A regional average provided by the system.
- π From your data: Pulled automatically from your Equidentity records (like active contracts or invoices).
- βοΈ Yours: A number you typed in manually.
As you replace benchmarks with your own real numbers, a Confidence Rating on the Results tab will update live, letting you know how accurate your final projections are.
Auto-Fill from Your Dataβ
Stop retyping numbers you already have! If you actively use the platform for boarding contracts and invoicing, look for the "π Auto-fill from your data" button next to relevant fields.
- Box Counts & Occupancy: Automatically calculates your occupied boxes based on your active contracts.
- Revenue: Pulls in your actual invoiced amounts.
- Pricing: For your current box price, the system won't overwrite your manual entry. Instead, it provides a helpful hint showing your average contracted monthly price to help you make an informed decision.
Cost Structure Improvementsβ
The calculator supports a detailed and realistic cost model:
- Staff Costs: Add multiple staff roles (e.g., "Head Groom", "Weekend Help"). If you are an owner-operator, you can input an estimated market rate for your own unpaid labor. This won't alter your primary cash-basis profit, but it provides a secondary profit line so you know what it would cost to hire a replacement.
- Rent vs. Own: If you rent, simply input your annual rent. If you own the property, you can separate your mortgage interest (a true cost) from building depreciation.
- Cost Timing: Distinguish between monthly costs (like repairs) and annual lump sums (like insurance or annual hay purchases) so your mid-year projections stay accurate.
Actionable Insights & Marginβ
Instead of just restating the numbers you typed in, the calculator analyzes your true Contribution Margin (what's left over after variable costs are covered).
The new Insight Engine provides personalized, actionable feedback based only on your real data. Examples include:
- Price Gaps: Identifying if you are charging below your cost-plus price and exactly how much revenue is left on the table.
- Vacancy Costs: Calculating the true lost margin for empty boxes.
- Labour Share: Comparing your staff costs against regional averages for stables of your size.
- Seasonal Misses: Spotting months where occupancy dips below break-even, suggesting opportunities for short-stay rates.
Each insight includes a direct link to the exact setting or field you need to adjust to improve your profitability.
