Horse Leasing
The horse leasing feature allows you to manage lease agreements directly within the platform. This guide explains how to set up, create, and manage leases for your horses.
1. Before You Start
Leasing is switched on per stable under Settings → Configuration. It is included as standard, not a paid add-on.
2. Setting Up Your Lease Agreement
Write your lease agreement first. Navigate to Admin → Stables → Terms & Conditions, and open the "Lease Agreement" tab. You only need to write this once, then Publish it.
You cannot create a lease until a lease agreement is published — the app will block you and link you here.
You can use merge tags in your agreement. These are placeholders like {{horse_name}} that fill themselves in automatically for each individual lease. Available merge tags include: {{horse_name}}, {{member_name}}, {{start_date}}, {{end_date}}, and {{monthly_fee}}. Please note that {{horse_chip_number}} currently always shows "N/A" because chip numbers aren't stored on the horse record yet.
3. Making a Horse Available
To lease a horse, you must first mark it as available for lease on the horse's own record. It then appears on your public "Horses for Lease" page.
4. Creating a Lease
To create a new lease, go to Admin → Leases → New Lease. You will need to select the horse, the member leasing the horse, the start and end dates, and the monthly fee.
Only horses marked for lease and not already leased will appear in the selection list. The end date cannot be before the start date, and a horse cannot have two overlapping leases — you'll be asked to cancel the existing one or pick different dates if this happens.
5. Member Acceptance
Once a lease is created, a notice appears on the member's dashboard. They read the contract with their own details filled in, tick to accept it, and the lease becomes active.
Until they accept, the status shows "Awaiting signature" and the horse stays publicly visible.
6. Managing Leases
The Leases screen lists all of your leases with their status. The four statuses are: Awaiting signature, Active, Completed, Cancelled.
- A lease can only be edited while it's awaiting signature. Once the member has accepted, its terms are fixed — to change them, cancel it and create a new one. This is because they agreed to specific terms and those shouldn't change without them agreeing again.
- Cancel ends a lease early.
- Mark completed closes one out.
7. What Happens Automatically
Leases complete themselves overnight once the end date passes, and the horse becomes available for lease again. No action needed.

- What happens to the horse when a lease ends? When a lease is completed or cancelled, the horse automatically becomes available for lease again.
- Can you lease a horse that's also for sale? Yes, a horse can be listed for both sale and lease at the same time.
- Can you change the agreement wording later? Yes, you can update your master lease agreement wording at any time. However, existing signed leases keep the wording that was agreed at the time.
